Long Walk Live – Ticket Sales Terms & Conditions
These Terms and Conditions (“Terms”) govern the sale and use of tickets for Long Walk Live, organised by The Windsor Festival Society (“the Organiser”). By purchasing a ticket, you agree to be bound by these Terms.
- Definitions
- “Event” means the event for which the ticket(s) are purchased, as described on the ticket(s) and promotional materials.
- “Organiser” means the entity organising the Event.
- “Venue” means the location at which the Event is held.
- “Ticket(s)” means one or more tickets issued for admission to the Event.
- “You/Your” means the ticket purchaser and/or the ticket holder.
- Contract & Acceptance
- Your purchase of a Ticket constitutes an offer to attend the Event and your acceptance of these Terms & Conditions, which form the contract between you and the Organiser.
- Tickets are sold subject to availability and to these Terms & Conditions.
- Ticket Prices & Fees
- All prices are stated in GBP (£) and include VAT where applicable.
- Booking fees ( £1.25 per ticket) are non-refundable.
- Tickets must be purchased through authorised sellers. The Organiser accepts no responsibility for tickets bought via third parties or resellers.
- Ticket Purchase & Entry
- Tickets are personal to the named purchaser (if applicable) and non-transferable unless the Organiser has explicitly permitted transfer.
- Tickets are valid only for the date and time stated at purchase.
- Entry will be permitted only with a valid ticket (digital or printed). Possession of a Ticket does not guarantee entry if you do not comply with all conditions of admission (age restrictions, safety/security checks, etc.).
- Family Tickets are valid for up to four people and must include at least one adult aged 21 or over (ID may be required) and at least two children under the age of 18. All members of the group must enter the Event together.
- The Organiser reserves the right to refuse entry or remove any attendee for behaviour deemed inappropriate, unsafe, or in breach of event rules.
- Attendees must comply with any bag checks or security screening upon entry.
- Tickets may not be resold or offered for resale except through authorised resale channels (if any) as defined by the Organiser. Tickets resold in breach of these Terms may be cancelled without refund and entry refused.
- No duplicates will be issued for lost or damaged tickets.
- Re-entry to the Festival is only permitted when an individual is in possession of wrist band. Any individuals with an invalid ticket and not in possession of a secured wristband will not be entitled to entry to the festival.
- Carer Tickets
- Carers accompanying attendees with disabilities are admitted at no extra cost when attending with a fee-paying adult or child
- Carer Tickets are only valid when presented together with the full-price ticket on entry.
- To help us ensure fair access, the Organiser may request evidence of eligibility for a Carer Ticket at the time of booking or on arrival. Acceptable forms of evidence include (but are not limited to):
- A copy of a current DLA, PIP, or Attendance Allowance award letter;
- A valid Access Card (with the “+”1 symbol);
- A registered carer ID card; or
- A letter from a GP, registered nurse, or social services professional confirming the need for support.
- Any sensitive information provided will be viewed in confidence by authorised staff only and not retained after eligibility has been verified, in compliance with UK GDPR.
- Carer Tickets are issued on the understanding that the carer is capable of supporting the person they accompany and remains with them throughout the event.
- Misuse of Carer Tickets (e.g. attending without the qualifying guest) may result in refusal of entry or cancellation of the ticket without refund.
- Under-5 Tickets
- Children under 5 on the date of the event are admitted at no extra cost if they are with a full paying adult. However, a separate ticket for each under-5 must still be booked in advance to help the Organiser manage site capacity and safety.
- Each adult may accompany up to two under-5s.
- The Organiser may request proof of age (for example, a birth certificate, passport, or official document) at the entrance to confirm eligibility.
- If suitable proof of age cannot be provided when requested, the Organiser reserves the right to charge the standard child ticket price for entry.
- All children must be supervised by a responsible adult at all times. The event site contains busy areas, loud music, and potential trip hazards, so guardians must ensure the safety and wellbeing of accompanying children.
- Pushchairs and buggies are permitted but must not obstruct viewing areas, emergency routes, or access points.
- Refunds & Cancellations
- All ticket sales are final. Refunds may be issued if the event is cancelled in full and not rescheduled.
- If the event is rescheduled, tickets will automatically be valid for the new date, no refunds will be offered.
- The Organiser cannot offer refunds due to weather, illness, travel issues, or other personal circumstances.
- Partial refunds or compensation will not be provided for curtailed or delayed performances.
- Please note that adverse weather, normal event curtailment, or certain ‘minor’ changes to the event may not entitle you to a refund unless the Organiser determines they are “material” changes.
- Event Changes
- The Organiser reserves the right to alter the line-up, timings, site layout, or other details without notice and without refunds.
- Whilst every effort is made to ensure the full, advertised bill performs, this ticket is for an event and not a specific artiste/band.
- Significant changes will be communicated via the event website and social media channels.
- Weather & Force Majeure
- Long Walk Live is an outdoor event and will proceed in most weather conditions.
- Attendees are advised to dress appropriately for the forecasted weather.
- The event may be cancelled only if weather or ground conditions make the site unsafe.
- The Organiser accepts no liability for cancellations or changes caused by events beyond its reasonable control, including (but not limited to) severe weather, natural disasters, government restrictions, strikes, or public safety concerns.
- Safety & Site Rules
- Attendees must follow all instructions from event staff and stewards.
- No glass, BBQs, fireworks, private sound systems, drones, or illegal substances are permitted on site.
- No alcohol is permitted to be taken into the venue and the only containers permitted shall carry non-alcoholic liquid in collapsible plastic or similar material containers of not more than 500ml. Any containers with broken seals will not be permitted.
- Children under 16 must be accompanied by a responsible adult.
- Anti-social or disruptive behaviour will result in removal from the event without refund.
- No animals other than assistance dogs for the disabled will be admitted to the site.
- If you look under 25 please do not be offended if we ask you for proof of age when you buy alcohol. Please bring ID. Long Walk Live operates the ‘Challenge 25’ policy.
- Strictly no trading is allowed inside the festival site without written permission from festival organisers.
- It is against the law to smoke in non-designated spaces.
- No Gazebos or Personal Structures: Attendees are not permitted to bring gazebos, pop-up shelters, tents, or any other personal structures onto the event site. These items create safety risks, obstruct views, and interfere with emergency access routes. Any prohibited structure brought to the site may be refused entry or required to be removed without compensation.
- Photography & Media
- The event may be filmed and/or photographed. By attending, you consent to your image being captured and used for event promotion and publicity.
- Personal photography is permitted for private use only; commercial use requires prior permission.
- Accessibility
- The Organiser will make reasonable efforts to provide accessible facilities.
- Visitors requiring accessibility support are encouraged to contact the Organiser in advance to discuss requirements.
- Liability
- You attend the Event at your own risk and must comply with all health, safety and security procedures and instructions at the Venue.
- Amplified sound and strobe lighting will be used at this event.
- The Organiser is not liable for any loss, injury, or damage sustained on site, except where caused by its negligence.
- Personal belongings are the sole responsibility of the attendee.
- The Organiser shall not be liable for any loss, damage or costs (including travel, accommodation or other expenditure) incurred by you arising from cancellation, postponement or alteration of the Event beyond the refund of the Ticket face value, except where required by law.
- The organisers reserve the right to implement any restrictions or conditions deemed necessary before and during the event to ensure the safe management of the festival site.
- The promoters reserve the right to amend the terms and conditions of entry in accordance with any new laws, legislation or internal company policies.
- Code of Conduct
- You must not use the Ticket for any business, commercial or promotional purpose without the Organiser’s prior written consent.
- You must comply with all Venue rules, stewards’ directions, and any applicable regulations including age restrictions. Failure to comply may result in refusal of admission or ejection without refund.
- Data Protection & Privacy
- The Organiser may collect and use personal data about you (name, contact details, ticket purchase records) in accordance with applicable data protection laws and its Privacy Policy.
- You consent to receiving communications from the Organiser (such as Event updates, changes, or marketing) including by email or SMS unless you have opted out.
- Governing Law & Jurisdiction
- These Terms & Conditions are governed by the laws of England and Wales.
- Any dispute arising under or in connection with these Terms shall be subject to the non-exclusive jurisdiction of the courts of England and Wales.
